Why have a website for your apartment block?
Pop in and see how our block website
would help you
A website for your apartment building is the starting point for all our services.
If you’re wondering how on earth a block website could possibly make life easier, give us a call. We’ll arrange a time for you to pop in to Maple Road, where we’ll give you a demo. And you’ll see how having it could save you a lot of time, effort and paperwork – and generally make your life easier.
In the meantime, this page outlines some of the advantages.
Having a secure website for your block will …
Whether you live in a block with 24 apartments or one with just four, having a secure website for your block will transform:
- The way you store and access all documentation relating to your individual flat and to your residents management company business – dramatically reducing paperwork and saving time
- The way in which the directors of your residents management company securely store (and, at the end of their term, hand over) essential documentation such as insurance policies, to which only current directors need access
- The ease with which residents can report problems – at any time of the day or night – such as the main door slamming or a vehicle parked in your space. The site also makes it very easy to check (or report back) on what’s being done about the problem
- The ease with which you can communicate (or check) matters such as the date of the next AGM and issue reminders about shed painting and the window cleaner’s visit – taking the strain out of day-to-day admin
- The ease with which you can vote (or arrange votes) on matters such as the colour of the garage doors – saving time and reducing the need to attend meetings you don’t have time for
- The way in which you can communicate news on the block and circulate useful information such as welcome letters for new residents, details of when the bins are collected or contact details for the nearest doctor or dentist – all without generating any paper
- The way in which you find and book contractors to do maintenance and repair jobs in you flat – with access to pre-vetted contractors, handymen and trades people, plus a system for booking them, sometimes at preferential rates, and …
- Much more!!
Lots more life-enhancing, time-saving services
Having a website for your block is the entry point for all the life-enhancing services which we offer to people who own flats in Surbiton.
The only prerequisite? Your flat must be in Surbiton.
How it works …
We will:
- populate your website with the data that you want (see paragraph below for details of typical website content)
- upload information which we believe you will find useful for handy reference, such as hints and tips for directors, and contact details of vetted contractors who have current PL (public liability) insurance, industry memberships, safety policies etc, and
- give you the necessary support to ensure that you know how to use the website to derive maximum benefit from having it.
What it costs …
At the moment we are offering a free 6-month trial to allow you to try before you buy, completely free of charge. And if you take one of our packages, the website is included in the price.
If you only want to use the website for communicating with your residents, we are happy for you to do so. It’ a great tool and it even lets you create newsletters which you can print for those who may not be online. We charge an initial set-up fee of £72 and a monthly charge of £3 per flat.
Website content
We will discuss with you what you want to have on your website. Typically, this includes:
- Individual log-in access so that residents can communicate with each other and with the management company directors; report concerns; access documents such as the lease; check dates (of meetings, works and bin collection days etc); book to have maintenance jobs done in their individual flats – and more
- A password-controlled store of management company documents such as the insurance policy, minutes of meetings, lease conditions and the list of shareholders
- A ‘director-only’ area for the secure storage of documents to which only they need access. (This ensures that when a director moves out or sells his/her flat, there is no physical handover of documents)
- A tailored welcome letter for new residents explaining the main ‘dos and don’ts’ for the building and who to contact if they have a problem
- Options for voting on items affecting the block such as dates for the next meeting or the colour of the garage doors
Website security
The system will allow residents and directors to have access (using their own choice of password) to different areas and information.
